About our structure – Who does what?

It’s Productivity Pam again. Pulling back the curtain and talking about the details of how CVA works. I’m reaching into the mailbag (who uses a mailbag anyway?) and pulling out this question: “Who does what?”

Oh wow! This is a huge question and I don’t even know if I can make sense of it. Let’s start from the ground up:

When someone first joins us as a VA, they start as a Project Virtual Assistant (PVA). PVA’s work closely with a project manager for the first 60 days on internal projects, these are things that we do internally or for the owners of the organization. They don’t actually deal with clients. This position is designed to make sure that the candidates are responsive, reliable, take initiative and have basic training in web technologies such as HTML, WordPress, Aweber (and other autoresponders), Calendar and Email management. After 60 days they are evaluated and hopefully promoted to Apprenticeship status.

Once an Apprentice, the VA is assigned to a Dedicated Virtual Assistant (DVA) who acts as their mentor. This Mentor trains them in their various client work and gives more in-depth training into real-life things we do for clients on a daily basis. This position is designed to make sure that they can handle the pressure of a higher workload, less hand-holding, and more in-depth skills, while maintaining a responsive and reliable VA. After 60 days they are evaluated and hopefully promoted to a Dedicated VA status.

Once a Dedicated VA, they receive one client to start out with, and are monitored closely (and work closely with their project manager) for 30 days to make sure no problems arise, after a successful 30 days they are given an additional client, and that process repeats itself until their workload is ideal for their availability.

Supervising the entire team of VA’s is our Project Manager.

Working alongside our Project Manager, we have our Human Resources Manager, our Sales Manager, and our Systems Administrator, all who are supervised by our General Manager. ??Working alongside the General Manager, we have our Technical Team manager, who supervises our Web Design Team, our Graphic Design Team, our Writing Team and our Senior Virtual Assistant Team.

Working alongside the General & Technical Team managers, we have our Operational Manager who supervises our Accounting Team and Client Advocate Team.

All web designers, graphic designers, writers and senior virtual assistants are hired after successful completion of internal test projects implemented in the hiring process and work through a technical team manager.
